Visiting Our Websites
For the most part, you may visit our websites without having to disclose any personally identifiable information (PII). However, our servers may collect non-personal technical information, such as the IP address of the device accessing our pages, time, date, and length of your visit, browser type, and information about the device’s operating system as well as information about your usage of our different websites, but only in as far as this information is required for the operation of our websites and for maintaining an internet connection.

The non-personal data collected does not allow for any personal identification and is deleted automatically, once it is no longer required for the operation of our servers or to maintain system security. Occasionally, we use this data for statistical purposes, i.e. to assess how many visitors have accessed our websites. This allows us to further develop our web contents according to the interests of our visitors. We also use statistical assessments to further improve system security. Please note that these assessments do not make use of any IP addresses nor are any user profiles created.

Accessing Our Products and Services
If you establish personal contact with us, subscribe to our newsletter, take part in online activities, sign up for any of our sweepstakes, register for one of our internet forums or any of our non-public internet areas, order any of our products or services online, or take advantage of any other special offers, it is required that you provide details about yourself, so we may effectively process your request, complete your order, or contact you, if necessary.

The data required usually consists of information needed to establish, define, amend, or terminate a contractual relationship (so-called user and contractual data). We are also obliged to retain data to comply with mandatory post-contractual warranty or data retention periods. Data collected may include: salutation, first and last name, company name, addresses, phone numbers, email addresses, fax numbers, bank account details, as well as information on ordered products and services.

The exact data required for a given request or order is specified via the online entry fields provided on our website. You are free to decide whether you want to provide the necessary information. However, it may be impossible for us to comply with your request, fulfill your order, or grant you access to our services or data without the adequate information given.

If you would like to subscribe to our newsletter or similar electronic products, we need a valid recipient email address. We also require details to verify your ownership of the address provided. Should you not be the owner of the email address, we need to ensure that he agrees to receive our products and only uses them for personal informational purposes.

You may revoke your consent to save and use your data gathered through the subscription process at any time (e.g., via the newsletter subscription cancelation function). Your data is processed and used solely under compliance with the applicable legal provisions for the protection of personal data. Most relevant in this context are the German Federal Data Protection Act and the German Telemedia Act.

The amount of information collected from you is limited by the scope of the intended purpose. Your information is used and electronically recorded singularly for the purpose of establishing and maintaining any contractual relations or to provide you with access to our products and services. For instance, we use your data to document and process a request, to contact you if necessary or desired, or to deliver services provided by WM Gruppe and its departments.

In accordance with relevant data protection laws, collected user and contractual data is deleted once it is no longer needed and applicable legal data retention periods have expired. Your data is deleted, once you unsubscribe from the newsletter.

Depending on the type of service rendered – e.g., the provision of access to online services billed by usage – data in addition to user and contractual data, namely access and usage data, may be collected and processed in order for you to be able to access our services. Access and usage data may include the following: details required for identification purposes, such as usernames and passwords, details on the beginning and end as well as the extent of each user session, and details on services used.

Pursuant to relevant data protection laws, access and usage data is deleted once it is no longer needed for website access or the billing of services used. If there are no objections regarding the invoice and if it is paid promptly, data used for billing is deleted 6 months after sending out the invoice. In case of an objection to the invoice, data is deleted once all remaining issues have been resolved; or in case of non-payment, data is deleted following any legal actions and upon the receipt of all outstanding claims.

Confidentiality
Please be assured that we treat your personal information in a strictly confidential manner. We use it solely within the scope of the identified and permitted purposes, for which we gathered the information. We do not disclose your personal data to third parties without first obtaining your express consent. Should other companies assist us with our data processing; these companies will be contractually obliged to treat our data carefully and in accordance with data protection laws. Neither they may use this data for their own purposes, nor may they disclose this data to any third parties.

Data Security
To guarantee the safety of your data and to protect it against manipulation, loss, destruction, or from the access by unauthorized persons, WM Gruppe takes technical and organizational measures of the highest standard. Measures taken include credential-based access controls for our computers as well as firewalls and other security software to prevent any unauthorized access and manipulation of your data. Our security measures are constantly being updated and improved.

Most of the data entered into one of our online entry forms for further processing, is specially encrypted before transferring it to our server. This applies particularly to any forms that include contractual information. You recognize the online forms that are encrypted by us based on their SSL label. To encrypt the forms we use the most current Secure Sockets Layer Protocol (SSL) to prevent any unauthorized access to your information. To employ this highly secure type of encryption, your web browser has to support it. More information on this issue and relevant updates are available on the websites of your browser providers.

Please note that emails are not suitable for the transmission of confidential information, as they lack the appropriate and necessary data encryption. For electronic communication via email, unauthorized access to your information or manipulation of your data cannot be ruled out. Thus, should your request include confidential information, we ask that you contact us via regular mail or fax. We gladly provide you with our contact information.

Using Online Payment Services

In individual cases, the payment for our services can carried out via an electronic payment service provider. In these cases the service provider in question, e.g., PayPal, will request your name and other personal data which are required to process your payment.

It will be up to you to decide whether you want to take advantage of the electronic payment option and provide the requested data or not. However, without the data, we will not be able to process your query or provide the requested service.

When using the service of electronic payment service providers, e.g. PayPal, you will be re-directed to their internet platform.  The electronic payment service provider in question will also be the responsible entity for collecting, storing, processing and using your personal data. In the case of PayPal this would be PayPal (Europe) S.à r.l. et Cie, PayPal. The use of your data by the electronic payment service providers will be in compliance with the data protection and privacy rules of these companies.

Only in cases in which the electronic payment service providers are unable to collect the service fee that is due, will they forward your data to us so that we can get hold of the outstanding money and, if need be,  take further legal action. In these cases the data will be used in compliance with the abovementioned rules.

Advertisement
Should you have given your consent to receive advertisement or information regarding our products and services, we will use your contact data in accordance with your consent and solely within the scope of this purpose. Via written communication, you may revoke your consent to receive advertisement at any time. Please find our contact information below.

Should you not have given your explicit consent to receive advertisement, we will use your mailing and email address only for occasional promotional mailings. Our use of your data in this regard is guided and limited by the narrow confines of the applicable laws. Should you object to our use of your contact data for promotional purposes, you may communicate this objection to us in writing at any time (see our contact information below).No personal data will be transferred or disclosed to third parties for promotional purposes.
